The most common mistake when booking accommodation for an interview is treating it as a two-day trip. In practice, five days to three weeks pass between arrival and getting the passport back with the visa: first the medical exam, then the interview, then the wait for the passport. Accommodation has to fit that whole route, not just interview day.

This piece is current as of 2 October 2026.

I have no affiliation with any hotel or service mentioned here and receive nothing for mentioning them.

The short version

  • Book for the full cycle: medical exam, interview, and 2 to 5 business days for the passport. Passports are not returned on weekends or holidays, U.S. or local.
  • Choose free cancellation or the option to extend. In applicant experience, the timeline almost always shifts.
  • Interviews are scheduled early, as early as 7:40 in Almaty. If the embassy is far from the centre, stay near it or budget time for a taxi.
  • The medical exam is almost always on the other side of town, and the X-ray is sometimes at a third clinic. Put all three addresses on the map.
  • Russian bank cards do not work abroad. Applicants book through Ostrovok, Yandex Travel or OneTwoTrip, through Booking with pay-at-property, or with a fiancé's or husband's card. Cash in dollars or euros is needed almost everywhere.
  • Check registration rules. In Serbia registration is mandatory within 24 hours; in Kazakhstan and Uzbekistan it is required for longer stays.
  • Do not prepay private landlords before you arrive. In Almaty in 2026, hosts twice tried to swap the advertised apartment for another one.

Warsaw, Poland

Embassy. Piękna Street 12, city centre, Śródmieście district. Entrance from Piękna. Google Maps lists the building as Al. Ujazdowskie 29/31.

Medical exam. The panel physician sees applicants in Wilanów in the south of the city, on Kosiarzy Street. X-ray and blood work are at a separate clinic in the centre, 20 to 30 minutes apart by taxi.

Where people stay. Most applicants stay within walking distance of the embassy in Śródmieście. Chat members named these hotels: Mercure Warszawa Grand (about 5 minutes on foot), Novotel (about 7 minutes), Ibis Styles Centrum (about 20 minutes), Metropol and Sheraton. Many rent apartments or studios on Airbnb or Booking near the embassy and Central Station. One couple who stayed in apartments in Sadyba near Wilanów took a 15-minute taxi to the embassy and found the morning traffic manageable.

Hotels chat members named. I am not affiliated with any of them.

How long to book. Arrive 3 to 5 days before the interview if the medical exam is in Warsaw, and book at least 2 full business days after the interview with the option to extend. In applicant experience, the passport comes back in 1 to 5 business days.

Registration. No self-registration is needed for a short trip. Foreigners must register only for stays longer than 30 days.

Good to know. There is nowhere to wait near the embassy: the street is busy and cafés open late. Companions are not allowed inside, so children and the petitioner are better off waiting at the accommodation. Taxis are Bolt and Uber with a foreign card attached. Per reports, Russian citizens check in to Warsaw hotels without problems.

Booking and payment: what works in 2026

From chat members' experience:

  • Ostrovok, Yandex Travel, OneTwoTrip and Russian bank apps accept Russian cards. But the hotel may still demand cash on arrival, and a private host may try to swap the apartment.
  • Booking: look for pay-at-property. This works in all six countries.
  • Airbnb is not available to Russians directly. Usually the fiancé or husband books with his card and lists the applicant as a guest.
  • Local sites: krisha.kz in Kazakhstan, list.am in Armenia. Here it is especially important not to pay before check-in.
  • Points: if your fiancé or husband has a credit card with hotel rewards, the stay can be paid in points.
  • Cash: bring dollars or euros. A local bank card (Kazakhstan, Armenia, Uzbekistan) makes paying for taxis and cafés easier.

A Schengen visa booking is not the same thing

If you are travelling to Warsaw through another Schengen country, the accommodation booking for the visa is in the issuing country, and that is what you show at the border. The Warsaw booking is separate and real. I covered the route in detail in the article on entering Poland through Schengen. Do not mix up the two bookings, and do not show the Warsaw booking to the border officer of the issuing country.

What to do now

If the interview date is not set yet

  • Find the embassy and medical clinic addresses on your post's page and mark both on a map.
  • Look at the neighbourhoods between them and current two-week prices on Booking or Airbnb.
  • Decide who pays and how: fiancé's or husband's card, cash, a local card.

If you already have an interview date

  • Book the medical exam right away. Your arrival date depends on it.
  • Book accommodation with free cancellation, from arrival to 2 to 5 business days after the interview.
  • If the city requires registration, choose a hotel or host who handles it. In Serbia, within the first 24 hours.
  • Do a trial trip to the embassy the day before the interview, at the same time of day.

If you will be waiting a long time (Tbilisi, sometimes Almaty)

  • Budget for monthly, not nightly, rent. Search local sites, but pay only after you move in.
  • Check the maximum stay and registration rules: in Kazakhstan, 90 days in any 180.
